Give your agent
one useful job.

Start with a task you can explain and a result you can check. A weekly report is a better starting point than “make the whole business more efficient.”

Find the repeated part.

Look for work with a recognizable beginning and end: a request arrives, a report is due, a document needs a first draft. Write down what happens today, including the copying, checking and chasing between steps.

You might describe it like this: “Each Friday, we collect job updates, list what’s finished and flag what’s missing. The manager checks the report before it goes out.” That’s an illustrative task, not a customer result. It gives us something specific to assess.

Does it need AI?

A fixed rule may only need ordinary automation: when an estimate reaches its follow-up date, remind the person responsible. Reading varied notes and preparing a summary may benefit from an AI assistant. Work across several tools may need a connected workflow with checkpoints.

The choice comes after we understand the task. More moving parts mean more to maintain.

Bring these five things.

  1. The task and its frequency. What starts it, who does it and how often? Note roughly how long it takes today, including checking and corrections.
  2. The tools you already use. Name your inbox, documents, job board or other systems. We check available features and access before promising a connection.
  3. A safe example. Use a made-up or redacted input and describe the output you want. Leave passwords and confidential customer records out of the initial inquiry.
  4. A way to check the answer. Describe a good result, a bad result and an exception. For a report, missing information should stay visible rather than become a confident guess.
  5. The person in control. Decide who reviews the work and handles failures. We agree which actions need approval before enabling them.

Ask for a custom scope. A dedicated Mac, broader integration work or a voice-intake pilot needs its own deliverables, costs and checks. Hardware and AI subscriptions are separate from setup fees.

Check whether it actually helps.

Compare the whole task before and after: running it, reviewing it, correcting mistakes and dealing with exceptions. A fast draft that takes longer to repair hasn’t bought you much.

Start with one manageable workflow. Make the result useful, the limits clear and the controls easy to find. Then decide what deserves another step.
